Privacy policy
This policy covers both of our websites, and the information we hold about the computers we manage for you once you are a customer.

Who we are
IT Cloud Network is the company responsible for the information described on this page. Our address is 2330 Ponce De Leon Blvd, Coral Gables, FL 33134.
What this covers
It covers www.itcloudnetwork.com, where you can read about what we do and send us a message, and portal.itcloudnetwork.com, where you can buy managed endpoint protection online.
It does not cover what Stripe does with the information you give Stripe on its own payment page. That is governed by Stripe's own terms and privacy notice.
What we collect, and when
When you send us a message
The contact form asks for your name, your work email address, your company, your role, what you are interested in, and whatever you write in the message box. We email all of it to ourselves so we can reply, and we set your own address as the reply-to so a response goes straight back to you. We do not put any of it in a database, and there is no account for you to log into.
When you accept our service agreement
Ticking the acceptance box is how you sign the agreement, and we record what you signed and that you signed it. That record contains:
- the legal name of your organization, and the name, job title and work email of the person accepting, as typed — except that spaces at the start and end are removed and the characters are stored in a standard Unicode form;
- the confirmation that the person accepting had read the agreement, accepted it for your organization, and was authorized to do so;
- the plan, the term, the number of billable endpoints, the currency and the monthly amount accepted;
- the date and time of acceptance, taken from our database rather than from your computer;
- the internet (IP) address the acceptance was sent from, and how we obtained that address;
- the exact text of the agreement and of your order summary, and a digest of each, so that neither can be changed afterwards without it showing.
We do not record anything about your device, where you were, or how you moved through the site, and the record does not claim to have verified who you are.
When you pay
You pay on Stripe's own page, not ours. Your card number never reaches us — we send you to Stripe and Stripe sends you back. On that page Stripe asks you for a billing address, a phone number and, if your business has one, a business tax registration number, and it takes the email address it will send your receipt to.
After you pay we read those back from Stripe and keep them alongside your order: the billing email address, the phone number, the billing address, and the tax registration type and number. We keep them so we can invoice you without opening Stripe's dashboard for every question. If any one of them is longer than we allow for, we do not shorten it — we simply do not keep that field at all, and your purchase completes either way. We never receive your card number, and we never send Stripe the agreement or the record of your acceptance of it.
Once we manage your computers
To deliver the service, we and the platform we use collect technical information from the endpoints you enroll — for example the operating system and its version, hardware and software inventory, patch and update status, and monitoring alerts. We use that information to monitor, patch and support those endpoints, and to count your billable endpoints.
What we do not collect
We run no analytics, no advertising trackers and no session-recording tools on either site. We do not build a profile of you, we do not track you across other websites, and we do not sell, rent or share your information with anyone for their own marketing.
We do not write your name, your email address or your IP address into our application logs. When something happens during a checkout, what we record is which of a fixed list of events occurred, and — where a payment provider's event caused it — that provider's own reference for that event. Those references identify an event in their system, not you. One exception we would rather state than let you assume otherwise: if our website hits an unexpected error while sending us your message, the error is written to our logs so we can diagnose it. We do not put your details in it deliberately, and we cannot promise that such an error never quotes what you sent.
Cookies
We set two, and both exist to make something work rather than to watch you:
- itcn_checkout_resume
- Lets you return to a checkout you started without beginning again
- itcn_installer_disclosure
- Remembers that you were shown the installer notice
There are no cookies on www.itcloudnetwork.com at all.
Who else handles your information
We use these companies to run the service. Each receives only what it needs to do its job.
- Stripe
- Takes the payment and bills you. Receives: Your payment details, billing address, phone, tax ID and receipt email.
- NinjaOne
- The platform that manages your endpoints. Receives: Your organization name, and technical data from enrolled endpoints.
- Neon
- Runs the database that holds our records. Receives: Everything we store, as its host.
- Vercel
- Hosts both of our websites. Receives: Your requests to our sites, as their host.
- Resend
- Sends our email. Receives: The address we are writing to, and the message.
We also use Xero for our own bookkeeping. Today it is pinned to a demonstration company and receives nothing about a real order — our code accepts the literal value “demo” and nothing else, and our database enforces the same. If that ever changes, this table changes with it.
How long we keep it, and what you can ask us to delete
This is genuinely two-sided, and we would rather say so plainly than write something that sounds better than it is.
The record of your acceptance cannot be changed or deleted — including by us. Our database refuses any edit, deletion or truncation of it. That is the point of it: an acceptance record we could quietly edit would not be worth keeping. If something in it is wrong, the only fix is a fresh acceptance of a new document; we do not go back and change the old one. We have set no end date on how long we keep it, so today we keep it indefinitely, and we do not currently delete it on request.
The billing details we read back from Stripe can be erased. The billing email, phone number, billing address and tax registration we keep alongside your order can be cleared on request, without affecting your order or your acceptance record. Ask us and we will clear them.
Messages you send us through the contact form live in our email rather than in a database, and we can delete them on request.
Nothing here limits a right you may have under a law that applies to you. If you have one, tell us and we will honour it.
Keeping it safe
We implement and maintain commercially reasonable administrative, physical and technical safeguards designed to protect your data against unauthorized access, use, disclosure, alteration or destruction.
If we confirm a breach of security that led to unauthorized access to or disclosure of your confidential information or personal data, we will notify you without undue delay, and in any event within seventy-two hours of confirming it, and will work with you to investigate and remediate it. That notice goes to the email address given when your agreement was accepted.
Children
Our services are sold to businesses. We do not offer them to children and we do not knowingly collect information from anyone under 18.
Changes to this policy
If we change how we handle your information, we will change this page and move the effective date at the top. A change here does not amend a service agreement you have already accepted — that agreement says how it is amended, and this page does not override it.
